Job Purpose and Impact

  • The Executive Administrative Assistant will be a strategic partner to HR leadership and their team by providing administrative assistance at the executive level, coordinating projects, managing calendars, coordinating meeting agendas, and drafting and delivering internal communications on behalf of the HR Leadership Team. Working independently under limited supervision for complex administrative tasks, this job helps drive continuous improvement across performance management, talent planning and succession practices, fostering an environment that promotes favorable employee engagement where teams can thrive, collaborate and achieve high performance. In this role, you will understand the Human Resources function and multiple parts of the business, and act as a sounding board and thought partner for the HR Leadership Team, and other Executive Team Assistants, serving as a primary source for their communications with other executives in the organization, clients or major stakeholders. You will also partner, support, coach and help train other HR administrative assistants throughout the HR function.

Key Accountabilities

  • Schedule and prioritize calendars, including meetings, appointments and travel arrangements, coordinating and planning internal and external meetings to ensure optimal use of time and acting as a gatekeeper to make decisions on relative priorities of meetings and appointments.
  • Arrange complex and detailed travel itineraries, accommodation, transportation for executive leaders, anticipating and proactively addressing any potential travel issues or changes.
  • Prepare meetings as delegated by HR leadership including coordinating, managing meetings, gathering meeting materials in advance, and overseeing logistics.
  • Partner collaboratively with executive leaders and key partners to coordinate projects, ensuring that progress is made in a timely way, that any demands on schedule are understood and agreed upon, and assisting with any necessary follow-up on outstanding tasks.
  • Partner to support coordination of key events, schedules, Board Directors, Family Shareholders, Executive Team partnership, fellow executive administrative assistants, and key partners.
  • Partner with other executive administrative assistants to provide a collaborative and connected executive administrative team supporting respective executive leaders and leadership teams.
  • Handle high volume tasks, information, and communications in a way that upholds the company’s culture, champions its brand, and maintains leaders’ reputation internally and externally.
  • Handle confidential and non-routine information, applying utmost confidentiality and sensitivity in dissemination of information, maintaining a high level of professionalism and integrity in all interactions.
  • Serve as a point of contact for HR leadership to solve issues and inquiries, developing action plans and escalating further for prioritization.
  • Independently solve complex issues with minimal supervision, escalating more complex ones to higher levels as appropriate.

Qualifications

 

Minimum Qualifications

 

  • Minimum requirement of 4 years of relevant work experience. 
  • Proficiency with office productivity tools and an aptitude for learning new software and systems.
  • Confirmed work experience with executive levels leading global teams in a matrixed organization with proven ability to maintain the highest level of confidentiality, while displaying executive presence and resourcefulness in interactions with the board and senior leadership.
  • Practical knowledge of international travel requirements and coordination.
  • Proven capability in building and nurturing relationships with stakeholders at all levels, ensuring mutual trust.
  • Confirmed experience coordinating projects and leading and orchestrating key deliverables with proven expertise in executing tasks swiftly and efficiently, ensuring timely project completion. Skilled in prioritizing and managing time-sensitive projects with high-quality outcomes

 

 

 

Job Information

 

 

This is an on-site position 

Location: Wayzata, MN 

The expected salary for this position is aprox $60k - 80k. Compensation varies depending on a wide array of factors including but not limited to the specific location, certifications, education, and level of experience. The disclosed range estimate may be adjusted for any applicable geographic differential associated with the location at which the position may be filled.
