Job Purpose and Impact

The Facilities Management Lead/Director will be responsible for the successful operations of our local Geneva office, an office which currently accommodates ca.375 people and represents one of 3 regional hubs in EMEA region (one of 15 global hubs). 


In this role, you will lead a team and be responsible for a broad variety of facility and administrative services including, but not limited to:

Facilities Services & EHS – Work Environment, Health & Safety; Physical Security & Access Control; Cleaning, Equipment Maintenance & Technical Support; Catering for meetings (in association with executive assistants); Construction & fit out works,  refurbishments & repairs, moves & relocations; Warehouse & storage services;
Office Administration Management – Reception Services & Visitors handling; Courier & Mail; Stationery & Office Supplies; Event Management for internal events on ad hoc basis only, Conferencing & Catering; Taxi vendor management & Parking; Oversight on office utilization incl statistics for Cross Border commuters to ensure mandatory requirements are managed/can be reported
Business Continuity & Crisis Management – Participates in the Crisis Management Team; Assist the implementation of the functional Business Continuity Plans; Develops and implements a Preventive Maintenance Program;

Key Accountabilities

 

  • Lead a team of 2-4 employees (FTE) and third-party vendors on mostly fixed but also variable contracts.  Examples include but not limited to UPS, ventilation, electricity, fire marshal, security, etc.  
  • Responsible for delivery of all office and administrative services including space planning, to support multiple businesses across multiple facilities.
  • Ensure facilities remain both internally and externally in safe and healthy operating condition and ensure the availability of associated services such as physical security, access control, equipment maintenance, technical support, ventilation and lighting, vending, cafeteria and cleaning
  • Formulate long range objectives, policies, procedures and strategy which includes directing the daily activities of office services.
  • Implement and ensure processes for safety and security on a daily basis.
  • Lead vendor management, including the development of office services insourcing or outsourcing strategy, the negotiation of building lease terms and interactions with landlords and the administration of service performance.

Qualifications

Minimum Qualifications

  • Fluency in English
  • Bachelor's degree in a related field or equivalent experience
  • Minimum requirement of 7  years of relevant work experience. 

 

Preferred Qualifications

  • Strong communication skills.
  • Minimum 5  years of supervisory experience
  • Minimum of 10 years of experience in general affairs, administrative jobs, transportation, canteen or security guard.
  • Fluency in French preferred
